The Individual Follow-up Committee (Comité de Suivi Individuel - CSI) meets to provide an opinion on the continuation of the thesis. The report of the meeting with the CSI must be submitted to ADUM before September 1st, which is a strict deadline, to authorize enrollment in the next academic year. The deadline for re-enrollment is September 30th. For first-year doctoral students, the ED council organizes individual auditions during the month of September, before enrollments for the second year.
The official decree of August 7, 2016, governing doctoral studies, requires the formation of an Individual Follow-up Committee (CSI) for each doctoral student.
The CSI is a permanent advisory body, maintained for the duration of the thesis. It is formed in consultation between the doctoral student and their thesis supervisor. The CSI is an opportunity for the doctoral student to review the progress of the thesis and for the committee to ensure compliance with the doctoral charter and the training agreement. It allows the presentation and discussion of the work completed, projects for the following year (experiments, training, etc.), Follow-up the progress of the training account, and presenting any difficulties encountered (scientific, material, relational, etc.) or personal conflicts.
The CSI includes the doctoral student, their thesis supervisor, and two to four researchers or researcher-teachers external to the laboratory. At most, one of the committee members, other than the supervisor, belongs to a laboratory of the University of Côte d'Azur (UniCA). For co-supervised theses, both co-supervisors sit on the CSI. It is recommended that members external to UniCA are not from the same laboratory. There is no parity rule imposed for the composition of the CSI, but the ED SVS invites supervisors to respect a balanced representation in the composition of the CSI. Among the members external to UniCA, at least one member must hold the habilitation to direct research (HDR), or equivalent for international members. CSI members must not have had any conflict of interest (publication, collaboration, funding, co-supervision of thesis, etc.) with the thesis supervision in the past three years. CSI members may sit on the thesis jury but will not be the thesis examiner.
The CSI meets annually for at least the first two years of the thesis. During the first year, the CSI meeting date is between the 6th and 10th month after the start of the thesis, and then in the second half of the following years. Videoconferencing is allowed. The meeting with the CSI includes an individual interview with the doctoral student in the absence of the supervisors and an interview with the supervisors in the absence of the doctoral student.
The doctoral students are responsible for entering data on the progress of their thesis, which will be discussed with the CSI, in the "Doctoral Follow-up Booklet" for first and second-year doctoral students, and in the "Individual Follow-up Committee Report" for third-year and beyond doctoral students. The "Doctoral Follow-up Booklet" is kept throughout the thesis. It allows monitoring the progress of the thesis.
One of the CSI members external to UniCA is the "referent" of the committee, responsible for drafting the meeting report (assessments and comments) in the "Doctoral Follow-up Booklet" or the "Individual Follow-up Committee Report." They communicate with the ED director (Nadine Loudig, loudig@ipmc.cnrs.fr) to report any significant problems (scientific, circumstantial, or personal) that could affect the continuation of the thesis. The CSI may be invited by the ED Director to participate in a conciliation or mediation procedure if necessary. The CSI decides on enrollment in the following year. For all derogatory requests for enrollment in the fourth year and beyond of the thesis, the CSI must justify its recommendation. The report of the annual meeting is signed by all CSI members, including the student. It must be submitted to ADUM before the request for enrollment in the following year. The doctoral student organizes their CSI to meet the deadline for submitting the report to ADUM before September 1st of the current year.
